OVERVIEW

PURPOSE OF JOB:

 

To assist the Staffing Coordinator with the administration of the Company's temporary worker population. Assist with processing temporary worker weekly time sheets for correctness and adjustments. To assist with submission of the temporary workers' weekly time sheets to staffing agencies. To assist with the review of the weekly staffing agency invoices with the branches and departments accordingly. To assist with the review, coordination and submission of payments to the staffing agencies based upon the weekly invoices.

Paid Time Off (PTO)

  • PTO begins to accrue for eligible new hires on their first day of employment with the Company, subject to the accrual cap.

Paid Holidays

  • Newly hired employees are entitled to all mandatory and optional/shift holidays that remain for the calendar year.  A newly hired employee who begins employment after January 1 of the calendar year is not entitled to more than ten (12) paid holidays for that calendar year.

Retirement Plan

  • 401(k) Plan (current employer match .50 cents for each employee dollar) subject to the current vesting schedule.

Student Loan Assistance

  • Eligible for student loan assistance after three (3) months of continuous employment, pending verification.
  • Company monthly contribution of $437.50, not to exceed an annual contribution of $5,250.00.
  • Any eligible employee participating in both Student Loan Assistance Program and Tuition Reimbursement Program is subject to a total maximum annual amount of $5,250.00 for both programs combined for the calendar year.

Tuition Reimbursement

  • Eligibility for Tuition Reimbursement is three (3) months of continuous employment.
  • Reimbursement is limited to $5,250.00 per employee per calendar year.
  • Any eligible employee participating in both Student Loan Assistance Program and Tuition Reimbursement Program is subject to a total maximum annual amount of $5,250.00 for both programs combined for the calendar year.

Wellness Day

  • Eligible for one (1) Wellness Day for an annual physical exam per year subject to submission of required documentation.

RESPONSIBILITIES

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

1.  Assist in the coordination of all temporary worker weekly time sheet. Make sure they are properly completed and reviewed for accuracy. If corrections are needed, coordinate with the temporary worker directly in conjunction with the appropriate branch or department staff. Daily.

2.  To assist and coordinate with the process of temporary staffing across the organization. Daily.

3.  Assist in checking all temporary staff time sheets daily to make sure no scans are missing and no corrections are needed. Daily.

4.  Assist in the process and coordination of the set up and on-boarding of the assigned temporary workers in the ADP time and attendance system. Weekly.

5.  Assist in the process and submission of the temporary worker weekly time sheets for accuracy and submission to the staffing agencies. Weekly.

6. Assist and support in the creation of the Temp Personnel Statistics Report and Punch Source Report. Weekly.

7.  Assist in reviewing the Invoices from the staffing agencies, confirm all information is accurate and matches to the temporary workers time sheet. . Weekly.

8.  Assist and support in the reporting and saving documents to the correct folders as needed. Weekly.

9.  Assist and support in the approval process of the payment requisition forms (PRF) for all staffing agency weekly Invoices and submit to accounting for payment processing. Weekly.

10. Track all signed time sheets to make sure they are signed and dated by the temporary staff. Weekly.

11. Assist with the organization of communications with the staffing agencies regarding temporary workers. If Needed.

12. Send continual support emails in the roll out of the temporary staff protocols. If Needed.

13.Assist with creation and needed updates of all Standard Operating Procedures (SOP). If Needed.

14. Assist in the checking of the Monthly Temporary Headcount. Monthly.

15. Assist with updating the weekly Monday SOP for all temporary workers and their assigned agencies. Weekly.
16. Schedule and conduct conference calls with staffing agencies on timesheet/invoice discrepancies or errors. If Needed.
